Textile Art Center (TAC) class policy

Textile Art Center (TAC) Mission Statement

To develop and expand appreciation and knowledge of quilting and textile arts in a fun, sharing and social atmosphere.

Guiding Principle

Since learning about textile arts is intrinsic to the Textile Arts Center (TAC) mission, TAC encourages members to participate as instructors or as students or by helping to invite and schedule external instructors where appropriate.

Class Scheduling Procedure

  1. Classes may be scheduled and added to the calendar by the Class Coordinators (board members).

  2. Class Coordinators will assist instructors with information and provide templates for class postings, class descriptions and supply lists. Instructors are responsible to provide the class description, supply list, samples and to identify any prerequisites.

  3. Class Coordinators will help instructors set an appropriate maximum class size.

    1. Maximum class sizes should be determined based on the required space and equipment for the activity.

    2. The minimum class size for classes taught by community and TAC members will be 4 students.

    3. The minimum size for classes taught by outside instructors will be based on the instructor’s minimum class size.

  4. Class Coordinators will work with instructors to determine when registration will open for a class, and when registration will close. Closing date for registration may be set in order to allow materials to be ordered and delivered in sufficient time before the class, if needed.

Class Registration Fees

  1. Class fees for classes taught by community and TAC members will be based on the length of the class.

    1. The class fee will be $5 for each ½ day class session. Longer classes will be assessed scaled fees (1 day class = $10; 4 half days = $20, etc).

    2. Students are responsible for their own copyrighted patterns and supplies.

    3. If special supplies are required, a class may require a supplies fee to be paid in addition to the registration fee in order to cover the costs of any special supplies.

    4. The Class Coordinators keep track of class registrants and collect registration fees.

  2. Class fees for outside instructors will be set based on the instructor’s fee schedule.

    1. In general the class fee for outside instructors will be set so that the students bear the cost of paying for the outside instructor.

    2. The Class Coordinators may, with TAC board approval, charge a lesser fee for an outside instructor if there is budget available to make up any difference between class registration fees collected and the instructor’s charged fee for the class.

Registration Procedure

  1. In general, classes are available to TAC members and not available to non-members. Any deviation from this policy is to be approved by the TAC board.

  2. Students will self-register for classes by using the internet platform or other registration method selected by the TAC for this purpose.

  3. In the event that self-registration is not possible for some members, the Class Coordinators or others that they designate may assist with class registration. One or both of the Class Coordinators will generally be available to assist with registration after the regular TAC meetings (2nd and 4th Mondays from November through March). Coordinators may be available to assist at other times by request.

  4. In the event that a class fills up, a waitlist will be kept.

    1. Additional students are added to the waitlist and will be moved into the class in case of cancellation. Students will be moved up from the waitlist in the order they were added.

    2. Students are encouraged to sign up on the waitlist so that classes can be filled and to judge whether there is sufficient interest for the class to be offered again.

  5. Registration for a class is not guaranteed until the student has paid the registration fee.

    1. Students must pay the class fee within 3 days of registering for the class.

    2. If the fee is not paid within 3 days, the student may be removed to allow others to fill the class.

  6. If a fee is required for kit, pattern, book or other class supplies, that fee must also be paid at the time that the class fee is paid.

  7. There is no guarantee for refund of class fees, or for refund of supply fees. Any refund is at the discretion of the Class Coordinators. To be considered for a refund, the student must cancel at least 5 days prior to the class, and prior to the purchase of any kits/supplies for the class. The TAC board has final authority in case of a dispute.

Instructor Procedure

  1. SSV community or TAC member instructors receive honorarium.

    1. The instructor honorarium will be $20 for each ½ day class session. Longer classes will pay a scaled honorarium (1 day class = $40; 4 half days = $80, etc). Class Coordinators may adjust the honorarium amount for special class formats with TAC board approval.

    2. Instructors will decide what to compensate volunteers who assist with their classes.

    3. Instructors have the right to waive the honorarium pay.

    4. Class Coordinators will work with the instructor to determine whether to hold the class in the event that there are fewer than 4 students and whether to reduce the honorarium paid to fees collected.

  2. Payments for outside instructors will be set based on the instructor’s fee schedule or other rate negotiated by the Class Coordinators.

    1. The minimum size for classes taught by outside instructors will be based on the instructor’s minimum class size and should be set so that the fees collected will cover the instructor’s charged fee and the HOA fee.

  3. In the event that a class has fewer than the minimum number of students, the Class Coordinators will work with the instructor to determine whether the class will be held, and whether there will be any adjustment to the amount of honorarium or fee paid to the instructor.
