Textile Art Center (TAC) security policy

Textile Art Center (TAC) Mission Statement

To develop and expand appreciation and knowledge of quilting and textile arts in a fun, sharing and social atmosphere.

Guiding Principle

Every effort should be made to provide access to the room, equipment and supplies for TAC members and SSV residents to use in accordance with the governing documents, while ensuring the safety of the users and the security of the assets.

Overview

The Red Mountain Room is the home for TAC equipment and activities. Room access is secured by key. Designated TAC users have access to the key kept in the lock box at the door.

The SSV community Property Manager and personnel designated by the Property Manager also have access to the Red Mountain Room by use of a master key(s) controlled by the Property Manager.

Access to the equipment and supply cabinets inside the room is also secured by key. There are 2 copies of the cabinet key kept in 2 lock boxes inside of the Red Mountain room. Equipment and supplies are available for use within the room during normal activities. There is no provision for equipment and supplies to be checked out for home use.

Procedure

  1. The codes for the exterior and interior lock boxes are to be changed yearly. The change will normally be made in late April/early May to coincide with the end of the winter season and the transition to a new Summer Coordinator after the annual election of TAC Board Members.

    1. Either lock box code may be changed more frequently if needed for security or safety reasons and at the direction of the TAC Board of Directors.

  2. The codes for the lock boxes will be chosen by the TAC Summer Coordinator.

  3. The Summer Coordinator will communicate the lock box codes to the members designated by the board, for the purpose of facilitating the activities of the TAC. In general, the lock box codes will be provided to the following TAC members:

    1. TAC Board Members

    2. TAC Committee Chairs who need access to the room and equipment for their committee activities

    3. Active and current TAC Room Monitors. The Room Monitor list is maintained by the Summer Coordinator.

    4. Teachers and Interest Group/Activity Leaders.

    5. Others as approved by the TAC Board

  4. The Summer Coordinator should be the one to communicate the access codes to authorized members as defined above.

  5. The room and cabinets will be kept locked when not in use. Leaders, Teachers, Committee Chairs and Monitors are responsible to ensure equipment is stored, cabinets are locked and the room secured when they leave.

  6. The Summer Coordinator will provide recommendations to the board for any changes to this policy, based on member requests. The board reviews and approves the recommendation and has the final authority to make a decision in case of disputes.
